PROSPECTING

What Prospecting Does

The Prospecting tool searches for potential customers or clients within a specific location and generates a marketing audit report for each one, surfacing gaps in that business's online presence (listings, reviews, marketing weaknesses). It's built for lead generation: instead of manually researching prospects one by one, the tool identifies them and hands over a ready-made talking point (their audit report) to open a conversation and pitch a tailored solution.

This is primarily an agency-level tool, though it can be enabled and passed down to individual sub-accounts for direct client use.

Where It Lives

Prospecting operates in two levels:

Agency View — for lead discovery and basic prospect searching.

Sub-Account View — for advanced engagement: sending outreach, running workflows, and full CRM automation on those leads.

Only sub-accounts can send emails, SMS, or run workflows on prospects found. The agency-level view is discovery only.

Enabling Prospecting for a Sub-Account (Agency-Level Setup)

Since this is an add-on feature, it needs to be turned on at the agency level before any sub-account can access it.

Log into the agency (top-level) view, not inside a specific sub-account.

Navigate to the Reselling tab in the agency dashboard.

Toggle the Prospecting add-on on.

Set the number of prospecting seats to allocate to the specific sub-account.

Decide how this will be priced to the client, bundled into an existing plan, or sold as a standalone add-on per user.

Save changes to activate the workspace for that account.

Note: Once a client (sub-account/location) has already purchased or activated the add-on, this offer generally can't be disabled retroactively for them, it can only be turned off before a purchase happens.

Generating Prospects

From the left-hand menu, select Prospecting.

Click + Add Prospect (or the equivalent search/discovery option).

Enter search parameters: location and relevant keywords describing the type of business being targeted.

The system returns a list of matching businesses and automatically generates a marketing audit report for each one.

Each report typically includes insights into the prospect's:

Online listings accuracy and completeness

Review volume and reputation

Gaps or weaknesses in their current marketing presence

Customizing the Report

Reports can be branded to reflect a professional, distinct identity rather than a generic template.

Open the report builder/customization settings.

Adjust the brand theme, header, introduction message, and footer.

Set the footer action: link to a booking page/website, open an email draft, or trigger a call button (on mobile).

Use Preview to see the most recent unsaved version before committing.

Click Save to apply the changes across all past and future reports, or Reset to Default to revert.

Reaching Out to Prospects

Once prospects are generated, they're automatically added to the sub-account's contact list, ready for outreach through the same tools used for any other lead.

Open a generated Prospect Report and use the Share option to send it directly via SMS or email.

Alternatively, open the contact's card directly to view full details and manually send an email or SMS.

Connect the prospect into existing workflows for automated nurture sequences, exactly as with any other CRM contact.

Prospecting Widgets (Website Lead Capture)

For a more passive, always-on version of prospecting, a widget can be embedded directly on a website.

Build a prospecting widget from inside the Prospecting dashboard (requires the paid version of the tool).

Customize the fields and branding.

Embed it on the website.

When a visitor fills it out, they receive an instant marketing audit report of their own business, and their details are automatically added to the CRM, tagged, and can trigger welcome workflows or pipeline assignment.

This effectively turns any website visitor curious about their own marketing standing into a warm, self-qualified lead.

Tracking Performance

Review the built-in reporting to monitor:

Number of reports generated

Engagement rate on those reports

Conversion rate from prospect to actual client

Reviewing these regularly helps refine which search parameters and outreach messaging are actually producing results, rather than generating volume with no conversion.

Notes

Always run Prospecting from inside the sub-account rather than the agency view when the goal is direct outreach, only the sub-account level can send messages and trigger workflows on the leads generated.

Recommend branding the report before sending anything out; a generic, unbranded audit reads far less credible than one that matches the sending business's identity.

The audit report itself is the pitch, lead with the specific gaps it surfaces (missing listings, thin reviews) rather than a generic cold intro, this consistently performs better as an opener.

Prospecting widgets work well as an ungated, low-friction lead magnet on a website, since the visitor gets something valuable (their own audit) immediately in exchange for their information.
