DOCUMENTS & CONTRACTS

JOBVIZER CRM VIDEO WALKTHROUGH

SAMPLE DOCUMENT & CONTRACT

This SOP explains how to create, preview, send, and track documents/contracts inside JobVestors CRM. It also covers recommended setup practices, approval control, and document status meanings so team members can manage agreements consistently from draft to signed and paid.

What Documents & Contracts Does?

Documents & Contracts lets you create, send, and track legally binding agreements, proposals, and service contracts directly inside the platform, with built-in e-signature collection, payment requests, and workflow automation. It's designed to replace separate e-signature tools by keeping the entire agreement process, from draft to signed and paid, in one place tied to the contact and deal record.

You can start from a blank document, upload an existing PDF, or build from a reusable template.

Setting Up Global Defaults

> From the left-hand menu, go to Payments.

> Select the Documents & Contracts tab at the top.

> Click the Settings (gear icon) in the upper right.

> Go to Customer Notifications to configure how clients are notified when they receive or sign a document. You can set delivery as email only, or email plus SMS.

> Save your defaults so every document that goes out follows the same delivery and notification rules.

Creating a Document or Contract Template

1. Go to Payments → Documents & Contracts → Templates.

2. Click + New → Create New Template.

3. Choose to start from scratch or from an existing template if one is available.

4. Give it a clear, specific name (e.g., "Website Design Agreement – Standard") so your team can find it quickly later.

5. Use the built-in editor to add headings, paragraphs, and bullet points to structure your agreement or proposal text.

6. Insert your logo and branding so the document matches the rest of your client-facing materials.

7. Use dynamic fields (like contact name, email, or price) so the same template auto-fills the correct client details every time, instead of manual editing per send.

8. Review all legal clauses and terms carefully before saving, since this becomes the reusable version your team will send repeatedly.

Automating Document Sending Through Workflows

This is the most efficient setup for teams handling volume, letting a document go out automatically the moment a deal reaches a certain point, without anyone manually preparing it.

Go to Automation → Workflows.

Click + Create Workflow, and start from scratch (or edit an existing workflow).

Add a trigger, common choices include a tag being added, a form being completed, or an opportunity reaching a specific pipeline stage.

Add the Send Documents & Contracts action.

Configure the action:

Action Name — something descriptive (e.g., "Draft Contract Creation")

From User — who the document appears to be sent from

Template — the saved template to use

Sending Mode — choose Send Directly or Create as Draft

Channel — email, SMS, or both

Save and publish the workflow.
